Do I need to change anything in QuickBooks?
Nothing. You connect QB Portal to your existing QuickBooks account with one OAuth click. Your existing customers, products, invoices, and payment history are imported automatically. QuickBooks stays exactly as it is — QB Portal adds an operations layer on top.
What do my customers see?
They get a clean, branded portal at your own URL. They can browse your product catalog, place orders, pay invoices online, and track deliveries live on a map. No training required — it works like any modern e-commerce site.
What happens when a customer places an order?
You see it immediately in your dashboard. When you confirm it, a real QuickBooks invoice is created automatically — no manual entry. You then assign it to a driver, who gets it on their phone and delivers it. The whole loop is tracked in one place.
Do my drivers need to install an app?
No app store required. Drivers access their portal through a link in any mobile browser. They get a numbered stop list, a map, and can mark deliveries done and take proof-of-delivery photos — all without installing anything.
How does online payment work?
Customers pay invoices directly in the portal using a card. Payments are processed by Stripe. Once paid, the payment is automatically recorded back in QuickBooks. You can also enable autopay so regular customers are charged automatically on due date.
Can I still take orders by phone?
Yes. You can create orders manually in the dashboard for any customer. They still create QuickBooks invoices automatically and go through the same driver dispatch flow.
Is my QuickBooks data safe?
QB Portal only requests the minimum necessary QuickBooks permissions. We use the official Intuit OAuth 2.0 flow and only access your data to provide the service. You can revoke access from your QuickBooks settings at any time.
Does QB Portal have AI built in?
Yes, two assistants. Yours answers questions about overdue accounts, demand, and reorder-due customers straight from your dashboard. Your customers get their own assistant on the portal that checks their orders and balance and can build their cart from a request like "add my usual order." Both stream answers in real time and only ever discuss your business data — nothing else.
Can the AI assistant place orders for my customers?
No — it only builds the cart. When a customer asks it to reorder something, it adds the right items and quantities to their cart so they can review it, then they place the order themselves with one click. It never checks out on their behalf.
