QB Portal is committed to protecting your privacy. This policy explains what data we collect, how we use it, and your rights.

1.Information We Collect

Account information: Business name, email address, and password when you register.
QuickBooks data: Customers, products, invoices, payments, and orders synced from your QuickBooks account via the official Intuit API.
Customer portal data: Names and email addresses of your B2B customers who use the portal.
Driver data: Name, email, and GPS location data of drivers while on active delivery routes.
Payment data: Payment method details are handled by Stripe and never stored on our servers.
Usage data: Pages visited and actions taken within the platform, used for product improvement only.

To provide the QB Portal service — syncing data between your business and QuickBooks.
To process orders and create invoices in QuickBooks on your behalf.
To enable customer self-service ordering and invoice payment.
To provide live delivery tracking to your customers.
To send payment reminders (dunning) on your behalf via Stripe.
We do not sell your data to third parties. Ever.

We access your QuickBooks data only to provide the QB Portal service.
We use the minimum necessary scopes (com.intuit.quickbooks.accounting).
You can revoke our access to your QuickBooks account at any time from your QB settings.
We comply with Intuit's developer terms and data handling requirements.

Data is stored in encrypted MongoDB databases hosted in the EU.
All data in transit is encrypted via TLS 1.2+.
Firebase Authentication handles all user authentication — passwords are never stored by QB Portal.
Stripe handles all payment card data — we are not PCI DSS compliant and do not need to be.

Driver GPS coordinates are shared in real time only during active delivery routes.
Location data is not stored permanently — it is used only to show live position to customers during delivery.
Drivers can stop sharing location at any time by toggling off location sharing in the driver app.

Order, invoice, and payment records are retained as long as your account is active.
If you cancel your account, your data is deleted within 30 days upon request.
QuickBooks remains the source of truth for your financial records.

Access, correct, or delete your personal data at any time by contacting us.
Request a data export.
Withdraw consent for marketing communications.
GDPR rights apply to EU/UK residents; Australian Privacy Act rights apply to Australian residents.
