How do I manage an order end-to-end?

Orders move through a clear lifecycle: a new order lands as Pending, you review and Confirm it, then Assign a driver either manually or via route planning. Once dispatched, you can track its status live as the driver completes the delivery, and it moves to Delivered. You can also cancel an order at any point before it's delivered. Every status change is visible in the Orders list and on the order's detail page.

How do I manage customers?

The Customers page gives you a single view per customer — their current balance, full order history, invoice history, and saved address. You can drill into any customer to see everything they've ordered and paid, without switching screens. Customer records sync automatically from QuickBooks, so names, emails, and balances always stay current.

What is the Live Dispatch board?

The Live Dispatch board shows all your active drivers on a single map with their live GPS positions and current route status. You can see which stops are done, which are pending, and where each driver is right now — all in one view. It updates in real time without needing to refresh.

Can I add stops to a driver already on route?

Yes. From the Live Dispatch board, select an active driver and use Add Stop to append a new customer delivery to their route. The updated stop list appears on the driver's app immediately — they don't need to restart or re-accept the route.

What happens if I try to reassign a driver who's already on a route?

The system blocks it. While a driver is actively working a route, you'll see a “Driver busy” indicator on the route planning and dispatch screens, and you won't be able to assign them a new route until they finish their current one. This prevents a driver from receiving two conflicting stop lists at once.

How do I plan and dispatch a route?

Go to Route Planning, then select the customers you want on today's run directly on the map. Click Optimize and the system uses OpenRouteService to calculate the most efficient stop order automatically. Review the suggested route, then click Dispatch — it's sent to the driver's app instantly and appears in their stop list with numbered pins, ready to go.

How do I manage portal users?

When a customer registers for portal access, they show up in Portal Users as pending. Click Approve to grant them login access, or Deactivate to suspend an existing user without deleting their account — useful if you need to temporarily pause access. You can also Unlink a portal account entirely if a customer relationship ends. Only approved, active users can log in and place orders.

How do custom product lists work?

From Product Lists, create a named list (e.g. “Restaurant Clients”), choose which products belong to it, and choose which customers should see it. Once a customer is assigned to one or more lists, their portal catalog is restricted to the union of products across those lists — everything else stays hidden from them. Customers not assigned to any list keep seeing your full catalog, so this is purely opt-in and won't change anything for existing customers until you deliberately assign them.
