How QuickBooks sync works, and the settings that control your business.

What data syncs from QuickBooks?

QB Portal syncs six data types from your QuickBooks account:

  • Customers — names, emails, balances, addresses
  • Products — items, descriptions, prices, categories, parent/child hierarchy
  • Invoices — all open and paid invoices with line items
  • Payments — all payments received, linked to their invoice
  • Credit memos — remaining credit balances per customer
  • Tax codes — your QB tax rates available on orders

Sync happens via webhooks — changes in QB appear in your portal within seconds. You can also trigger a manual sync from the Sync page.

What is the order edit window?

The order edit window is a configurable time limit (set in Settings) during which a customer can still modify their order after placing it. Once the window closes, the order is locked and can only be edited by a business owner. This prevents last-minute changes that conflict with your fulfilment process.

What do the dashboard widgets show?

The three dashboard widgets give you an at-a-glance view of today's activity:

  • Today's orders — number of new orders placed today
  • Needs action — orders confirmed but not yet assigned to a driver
  • Revenue this month — total value of invoices created in the current calendar month, pulled from QuickBooks
