How your customers use QB Portal to browse, order, and manage their account.
Customers also get smart reorder suggestions — products flagged as “due” based on their own buying pattern — shown at the top of the catalog.
The reorder strip at the top of the products page ranks the customer's products by how overdue they are for a repeat purchase — not just by raw order frequency. For each product they've bought at least twice, it calculates the average number of days between orders, compares that to how long it's been since their last order of that item, and flags anything past its usual cycle as Due. If fewer than 5 items are currently due, the strip fills the rest with their other frequently-ordered products. They can add any of these to cart with one click — it's all calculated automatically from order history, no setup required.
Once a driver is dispatched with your order, you'll see a live tracking link on your order — either in the portal or shared with you directly. Opening it shows the driver's real-time position on a map as they make their way to you, updating automatically every few seconds. Tracking ends automatically once your order is marked delivered.
Products that have multiple variants (e.g. a beef cut available as “per kg”, “per box”, “wholesale slab”) are shown in a table view rather than individual cards. The customer enters quantities for each variant in a row and clicks Add to Cart once — all variants are added together. This makes bulk ordering of related products much faster.
Yes. The cart is saved to your account on our servers whenever you make a change. If you close the browser, switch devices, or lose your connection, your cart will be exactly as you left it when you log back in. Nothing is lost between sessions.
Credit memos are balances your supplier has issued against your account — for example, after a return or an overpayment. They sync automatically from QuickBooks. You can view your credit memo history and remaining balances in the Credits section of your portal. Credit memos are applied by the business owner when processing payments in QuickBooks.
QuickBooks supports parent/child product relationships — for example, “Beef Cuts” as a parent with “Brisket per kg”, “Mince per kg” as children. QB Portal syncs this hierarchy and groups child items under their parent category in the customer catalog. Customers see products organised by category tabs at the top of the products page, matching your QB item structure exactly.
Go to Invoices in your portal sidebar to see every invoice — open, paid, and overdue — with status badges and amounts. The Payments tab shows your full payment history, including which invoice each payment was applied to. Both lists update in real time as new invoices sync from QuickBooks or payments are made.
